Description Summary: Duties and Responsibilities:•Managing general office operations by maintaining office systems (planned and reactive) and supervising staff (cleaning, catering, delivery, security, etc.)•Purchase furniture, office equipment and office decoration.•Office maintenance (maintenance contracts for all engineering equipment: air-conditioning, ventilation, electricity, fire-alarm system, audio/video equipment etc.)•Property Damage and 3rd Party Liability Insurance renewal•Purchasing of goods and services in accordance with the Company’s policies and procedures. Creation of new vendors, cooperation with the local accounting and procurement team, point of contact for the vendors, making sure all documents are correct and invoices are duly paid•Supervision of fit-out works and provide general coordination between subcontractors and suppliers.•Vendors Management supervision•Car Fleet/Admin. Coordinator Supervision. Updating / monitoring execution of procedures for Company cars usage•Supervision of Company Car Fleet maintenance, daily transportation coordination, registration in GIBDD, Technical Service, Auto Insurance, vehicles hand over to employees (power of attorney, road list, petrol card) – • Cars purchase (running tenders, RFAs/POs submission) Cars disposal via internal bidding in accordance with Car policy.• Office / personal drivers supervision, support in new drivers sourcing and selection.•Coordination relationship with Landlord.•Partnership with Asset Protection and Security Manager.•Dealing with State authorities: Prefecture, Migration services, Chamber of Trade and Commerce, Chamber of State Registration•Facilities budget planning (OPEX and CAPEX)•Corporate procedures and policies follow up, review.•Event management•Travel management•Management of labor safety procedures. Occupational health and fire safety. Cooperation and coordination with the OHS service provider – Monitoring and ensuring compliance with related legal requirements of labor conditions and safety. Updating and obtaining necessary Safety and Occupational Safety documents.
